Governance Ad Hoc Committee Meeting
MINUTES
September 14, 2015

Members Present:  Deb Goda, I. Azell Reeves and Peggy Terhune

Members Absent: Adonis Brown, Eric Chavis, Lourdes Fernandez, Crystal Foreman, Desiree Peterson

The open meeting was held via tele-conference and members were welcomed.

Peggy Terhune opened the meeting by welcoming the members.  They discussed the revised By-Laws that were approved and adopted by the Council at the August meeting and the need for another version of the By-Laws being developed at a readability level to make them understandable by all.  It was suggested that our communications initiative, the O’Neill’s, be given the By-Laws to make a first pass at a readable version and then we would have self-advocates review them before completing a final version.  

Members then reviewed the list of current NCCDD policies.  Peggy mentioned that the format of the current policies were mostly in a memo form and that that wasn’t the best way to format them.  Normally at the top of the page is the name of the policy, original date adopted and any other update/revised dates listed.  A new format will be proposed.  JoAnn will revise the list to combine similar policies (such as reimbursements for childcare, personal assistants and respite) and add proposed subjects that were taken out of the old By-Laws for potential transition into a formal policy.  

All agreed that several meetings could be held before the November 18-20th Council meeting to begin the review of current policies and the development of new policies.  Dates will be firmed up and announced soon.  It was also suggested that staff call the ad hoc members that do not have e-mail accounts the day of the scheduled meetings to remind them of the meeting, as well as continuing to mail them hard copies of the minutes and meeting agendas.
